How do I know when the Cambria Veterans' Memorial Hall is available for rent?

Is there a Cambria Veterans' Memorial Hall Floor Plan? 

Yes. The Main Hall is the largest room and can hold up to 250 people without tables or a maximum of 150 people with tables. The stage is located at the front of the hall, and the small kitchen is at the rear of the hall.

The Dining Room can hold 49 people with or without tables and there’s an outside deck available for use.

What are the rules governing the Cambria Veterans' Memorial Hall? 
Is smoking allowed in the Cambria Veterans' Memorial Hall? 

Smoking is prohibited in the Cambria Veterans' Memorial Hall as provided by California State Law (Labor Code 6405.5).

Are smoke machines allowed? 

No, they are not allowed to be used in the Cambria Veterans' Memorial Hall.

What is the cost to rent the Cambria Veterans' Memorial Hall? 

Applications for use of the building or grounds shall be accompanied by a deposit pursuant to the fee schedule on file at the district office. Upon confirmation of the reservation the district shall require full payments of the rental fee and determine if an additional deposit is required. This rental deposit shall be held by the district and forfeited if lessee fails to cancel the use of the building prior to 90 days from the time scheduled for such use.

The General Manager may waive collection of deposit under extenuating circumstances. The rental fee for that time reserved shall be deducted from the amount received and the balance, if any, shall be returned to the lessee. This deposit shall also be applied to repair or maintenance of the building, if in the opinion of the building supervisor the lessee or guests of the lessee caused damage to the building beyond usual wear and tear, or if the lessee fails to leave the building in good, clean condition in accordance with the rules herein regarding clean-up. This does not relieve the lessee of the responsibility of additional charges if the deposit does not cover the cost to restore the building to its original condition at the beginning of the rental period. An appropriate refund shall be made within seven days of end of the rental period.

For regularly recurring uses the deposit shall remain on file with the district until such regularly recurring use is terminated.

How do I make a reservation?

Reservations may be made no earlier than twelve (12) months in advance. However, recurring events on a weekly, monthly or annual basis, such as Pinedorado, American Legion monthly meeting, or an event requiring longer than twelve (12) months to prepare for, may be scheduled on an ongoing basis, by written authorization by the general manager. The number of advance reservations by any particular individual, group, corporation or organization may be limited when such is necessary in the public interest and at the discretion of the general manager. Nonprofit organizations shall take precedence over for profit use where a scheduling conflict arises. Such determination may be made by the general manager. The decision of the general manager regarding advance reservations shall be final. The district reserves the right to cancel any reservation if the building is required for district use, or for emergency purposes.

What is required to make a reservation? 

The following information is required to make a reservation: 

  • Date(s) of event
  • Applicant name, mailing address, phone number & email address
  • Completed Cambria Veterans' Hall Memorial Hall Reservation form
  • Proof of General Liability Insurance Coverage Certificate (The district requires a certificate of your General Liability Insurance coverage for $500,000.00 with an endorsement naming CCSD as an additional insured. If alcohol will be present or served, the insurance policy must indicate in writing "Host Liquor Liability" (if serving alcohol without collecting beverage fees) or "Liquor Liability" (if selling liquor). If you do not have insurance coverage, you must purchase General Liability insurance, as well as Liquor Liability, if applicable. The additional insured clause should read: Cambria Community Services District including its directors, employees and agents, attention: Cambria Veterans' Memorial Building, 1000 Main Street, Cambria, CA 93428.) 
  • Proof of payment with a licensed security provider (for events where alcohol will be served)

What is included in the Main Hall, Dining Room & Kitchen Rental? 

The Main Hall & Dining Room rental includes rectangular tables and folding chairs. 

The kitchen is only rented as an add-on to the rental of the Main Hall or Dining Room. The kitchen add-on fees are outlined below. The kitchen has a stove and refrigerator. 

The CCSD does not supply pots, pans, utensils, dishes or glasses.

Is audio visual or other equipment provided? 

The stage, located in the Main Hall, includes curtains, multiple outlets and a podium. No audio or visual equipment is provided. 

Are tables and chairs provided? 

The Main Hall and Dining Room rentals include 24 2'x8' long brown rectangular tables and 200 brown folding chairs. The tables can accommodate 8 people per table. 

Are there any noise or decorating restrictions? 

Yes, decorations used within the hall or on the grounds shall not create a fire hazard, and must have the prior written approval of the building supervisor. This prohibition may include, but not be limited to, candles or open flame, hay bales and Christmas trees. The right to limit the size and amount of decorations is reserved by the building supervisor. 

Decorating of the upper walls (above the wood trim approximately nine feet above the floor) or ceiling is prohibited except from permanently installed eyes and hooks and approved by the building supervisor. Pins or thumbtacks may be used on bulletin board material on walls. The use of tape, nails or staples is prohibited on any painted surface and floor of the building.

Event signs may be posted not more than five (5) days prior to the event and must be removed within one (1) day after the event. Failure to remove signs in a timely manner may result in lessee being assessed a sign removal charge.

The use of confetti, rice or dance floor wax is prohibited.

Yes, there is noise restrictions. No music shall be played after 12:00 a.m. on Monday through Saturday and no music shall be played after 10:00 p.m. on Sundays. All doors and windows shall remain closed while music is being played after 8:00 p.m.

Can I rent the BBQ pit?

Is parking available at the Cambria Veterans' Memorial Hall? 

Yes. There are multiple parking spaces around the building, including 8 parking spaces for persons with disabilities. There are two special Veterans' parking spaces; one is located in the front of the Cambria Veterans' Memorial Hall, and the other is on the side of the American Legion 432 Club.

Can I rent the Cambria Veterans' Memorial Hall parking lot? 

Yes, the parking lot is available to rent and it includes the use of the restrooms located inside the Cambria Veterans' Memorial Hall. The rental costs are outlined below.

Are security guards required? 

Renters are required to hire security guards if alcohol will be present or served at the event. You must provide proof of payment made in advance for your contract with a licensed security provider to rent the Cambria Veterans' Memorial Hall for events where alcohol will be served.

Is insurance required? 

Yes, renters must provide us with proof of a General Liability Insurance Coverage Certificate. The CCSD requires a certificate of your General Liability Insurance coverage for $500,000.00 with an endorsement naming CCSD as an additional insured. If alcohol will be present or served, the insurance policy must indicate in writing "Host Liquor Liability" (if serving alcohol without collecting beverage fees) or "Liquor Liability" (if selling liquor). Is a security deposit required? 

Yes, the CCSD requires a security deposit and payment in full, in advance, of the rental fee to confirm your reservation. Lessee must pay for all breakage, damage or loss to the building, furnishings and equipment occurring during such use. The security deposit will be applied to any repairs or maintenance needed (if any) and refunded upon inspection of the premises, within seven business days.

Is there a building attendant or key required? 

The CCSD does not provide a building attendant. A keyless entry code will be issued to enter the building, and the code will be provided to the renter the week of the event.

Is there a discount for community groups and civic organizations?

Do you have a clean up checklist? 

Yes! The CCSD staff is not paid to clean up after your event. Anything that needs to be cleaned by CCSD staff above and beyond their routine cleanign will be deducted from the security deposit.

Clean Up Checklist - Main Hall, Dining Room, Foyer & Stage
All tables shall be taken down, stacked on table carts and chairs shall be folded and stacked against the walls in designated areas behind the leg stops.
The snack bar shall be left clean, with all counters wiped off & floor mopped. All food is removed, including from the refrigerator.
All decorations and posters are removed from the walls.
Any equipment shall be returned to the storage closet from which it came.
All lights, heaters & fans are turned off.
All windows & doors are closed & locked.
The trash cans are emptied & placed in the outside dumpster. The dumpster key is located on a wall hook in the kitchen.
Clean Up Checklist - Kitchen
The kitchen shall be left clean, with all counters wiped off, floor mopped, spills cleaned from both top and inside of oven. All food is removed from kitchen, including refrigerators.
All lights, heaters & fans are turned off.
All windows & doors are closed & locked.
The trash cans are emptied & placed in the outside dumpster. The dumpster key is located on a wall hook in the kitchen.
Clean Up Checklist - Restrooms
The floors are swept & mopped.
All counters, sinks, urinals & toilets are cleaned.
The trash cans are emptied & placed in the outside dumpster. The dumpster key is located on a wall hook in the kitchen.
All lights are turned off.
All windows & doors are closed & locked.
Clean Up Checklist - BBQ & Desk
The outside barbecue area shall be left clean of any food scraps and debris.
Unused wood shall be stacked neatly by the side of the pit wall.
Fire coals shall be quenched with water, and the grill leveled to the top edge of the pit.
The grill and pit rim shall be scraped clean of food scraps, food fats, and other debris.
The trash cans are emptied & placed in the outside dumpster. The dumpster key is located on a wall hook in the kitchen.

 

What is the cancellation policy? 

You must give the CCSD a minimum of a thirty-day notice in order to cancel an event. You will forfeit your deposit and fees if notice is less than one week.
